Privacy Notice
What Asiam3 collects about you, why, how long it is kept, and what you can ask us to do about it.
Version 2026-08-21. In effect from 21 August 2026.
Who is responsible for your information
Asiam3 is a product of NewLife Nexus International. Asiam3 decides how and why the information described in this notice is used, which under the Data Protection Act, 2012 (Act 843) makes it a data controller for that information.
Where a merchant collects information through their own shop for their own purposes, the merchant decides how that information is used, and Asiam3 may be acting on their behalf instead. Which applies depends on the activity.
What Asiam3 collects, and whether you have to give it
This is the complete list of personal information Asiam3 holds about a person who uses it.
| What | Why | Do you have to give it |
|---|---|---|
| Your email address | To sign you in, and to send you a code confirming the address is yours | Yes, to have an account. There is no other way to sign in |
| A password, stored only as a hash | To sign you in | Yes, to have an account. Asiam3 never stores the password itself |
| Your full name, as you type it | So Asiam3 and a merchant you buy from can address you as a person rather than an identifier | Yes, at sign-up. Asiam3 records it as what you told us and does not check it against any record |
| A record that your email was confirmed, and when | So Asiam3 knows the address reaches you. The address itself is stored as a one-way hash in this record | It follows from confirming your address |
| Sessions: a hashed sign-in token, the browser you used, the network address you signed in from, and the times | To keep you signed in, and so a sign-in you do not recognise can be ended | It follows from signing in |
| Which business you belong to, if any | So a merchant account can act for its business | Only if you create or join a business |
| Orders: what you bought, how many, the price, the currency and when | To carry out the purchase, and because the law requires transaction records to be kept | Yes, to place an order |
| Records of significant actions taken on your account or orders | So there is an account of what happened that cannot be quietly changed | It follows from using Asiam3 |
What Asiam3 does not collect
Asiam3 does not store your date of birth, your identity document, your photograph or your payment details.
Where you ask a shop to deliver, Asiam3 keeps what you typed so they can bring it. That is where to come, a phone number, and the place your phone gave if you offered it. Only that shop is shown it, and only for that order. It is deleted thirty days after the order is finished. If you collect instead, none of it is asked for.
Asiam3 runs no advertising trackers and no third-party analytics. The pages you are reading load nothing from any other company.
Asiam3 cannot currently take payment, so no payment information of any kind exists. Any arrangement to pay a merchant is between you and that merchant.
Who else sees it
A merchant you buy from sees the order you placed with them, and that it was placed by you. They do not see your other orders, your other merchants, or anything about your account beyond that.
Asiam3 staff see what their role permits, and each such look is recorded with the reason for it. Looking up the name behind an account requires a written reason that is stored permanently against the record.
Asiam3 uses outside providers to run the service: a host that runs the website, a database host, a storage host for images, and an email service that sends account and order messages. They handle the information only to run the service and do not use it for anything of their own.
If you buy from a shop at its own web address, the shop uses Asiam3 as its service provider to take and keep your order. Asiam3 holds your checkout details for that shop only.
Asiam3 does not sell your information and does not share it for anybody else's marketing.
How long it is kept
Two clocks, because two different rules apply.
Account information is kept while you have an account and for a short period after it ends. Sign-in credentials, sessions and password hashes are destroyed immediately when access ends rather than at the end of that period.
Transaction records are kept for six years from the end of the year they belong to, because Ghanaian tax law requires it. These records describe what was bought and for how much, and reference you by an identifier rather than describing you.
How Asiam3 keeps it safe
Passwords and sign-in tokens are stored only as one-way hashes, so the originals are not held anywhere and cannot be recovered from what is stored.
Every business's records are separated from every other business's in the database itself, rather than only by the code that reads them.
Records of significant actions can be added to and not altered, so an account of what happened cannot be quietly rewritten.
If information is ever accessed by somebody who should not have it, Asiam3 will inform the Data Protection Commission and the people affected as soon as is reasonably practicable.
What you can ask for
You can ask what Asiam3 holds about you, and you can ask for anything wrong to be corrected. Section 27 of Act 843 gives you both.
You can ask for your account to be erased. Asiam3 is built so that erasing you removes your name, your email address, your credentials and your sessions, while leaving the transaction records the law requires to be kept, which then reference an identifier that no longer describes anybody.
You can complain to the Data Protection Commission of Ghana if you believe your information has been handled wrongly. You do not have to raise it with Asiam3 first.
How to reach Asiam3 about your information
Requests about your information go to Asiam3, a product of NewLife Nexus International.
The address for these requests is published on this page, and until it appears here you can raise a request through the merchant you dealt with, who will pass it on.
What the law requires you to be told, and where it is above
Section 27(2) of the Data Protection Act, 2012 lists what you must be made aware of before information is collected. This is that list, and where each item is answered.
